They offer more robust collaboration options for teams and offices to use.<\/p>\n<h3>Why are we using them?<\/h3>\n<p>Google Groups centralize two main categories of School District email lists:<\/p>\n<ul>\n<li>Broadcast email lists used for updates including weekly newsletters, timely updates, etc.<\/li>\n<li>Team or project email addresses used for two-way communication between a team and the SDP community<\/li>\n<\/ul>\n<p>Google Groups offers many benefits including:<\/p>\n<ul>\n<li>Centralized management of all email groups<\/li>\n<li>Ability for District staff to see all group memberships in the <a href=\"http:\/\/groups.google.com\/a\/philasd.org\" target=\"_blank\" rel=\"noopener noreferrer\">Google Groups<\/a> interface<\/li>\n<li>Improved response management for distribution lists via <a href=\"https:\/\/drive.google.com\/file\/d\/1zbwTEgc5WXPPzCvJZV5f9SV-PcdPv7eE\/view\" target=\"_blank\" rel=\"noopener noreferrer\">Collaborative Inbox<\/a><\/li>\n<li>The ability to share Google Drive materials (Docs, Sheets, Slides, etc.) with a Google Group instead of adding people individually.\n<ul>\n<li>For example: to share a presentation with your school staff, you would share the document with sch-school-list@philasd.org.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n[\/vc_column_text][\/vc_column][\/vc_row][vc_row full_width=&#8221;stretch_row&#8221; content_placement=&#8221;middle&#8221; el_id=&#8221;groupsfaq&#8221; css=&#8221;.vc_custom_1648243776167{background-color: #22779f !important;}&#8221;][vc_column][vc_custom_heading text=&#8221;Frequently Asked Questions (FAQs)&#8221; font_container=&#8221;tag:h1|font_size:40px|text_align:center|color:%23ffffff&#8221; use_theme_fonts=&#8221;yes&#8221;][\/vc_column][\/vc_row][vc_row][vc_column][vc_toggle title=&#8221;How do I access Google Groups?&#8221;]To access Google Groups, sign into the Employee Portal (<a href=\"http:\/\/philasd.org\/login\" target=\"_blank\" rel=\"noopener noreferrer\">philasd.org\/login<\/a>) and select the <strong>Google Groups<\/strong> tile.[\/vc_toggle][vc_toggle title=&#8221;What roles are available in Google Groups?&#8221;]You can have one of two roles in a Google Group:<\/p>\n<ul>\n<li>Member<\/li>\n<li>Manager<\/li>\n<\/ul>\n<p><strong>Members<\/strong><br \/>\nMost staff will be members of the Google Groups they are in. Group members have the ability to receive and respond to email sent to a particular group.<\/p>\n<p><strong>Managers<\/strong><br \/>\nOne to two staff members can be designated as managers for the group. Group managers should generally be those responsible for the email account. This role allows teams to grant access to their group without needing IT support. This means it will no longer be necessary to email postmaster@philasd.org to request changes to your email list.[\/vc_toggle][vc_toggle title=&#8221;How do I find out what role I have in a Google Group?&#8221;]To see your role in each group:<\/p>\n<ul>\n<li>Open the group in Google Groups<\/li>\n<li>Select the People tab in the lower left navigation<\/li>\n<li>Find your name on the list and see your role in the Role column<\/li>\n<\/ul>\n[\/vc_toggle][vc_toggle title=&#8221;How do I add\/remove a manager from one of my Google Groups?&#8221;]To request a change to a manager for one of your Google Groups, please submit <a href=\"https:\/\/forms.gle\/gd5KsW5nX3dJL5ya6\" target=\"_blank\" rel=\"noopener noreferrer\">this form<\/a>.[\/vc_toggle][vc_toggle title=&#8221;In Zimbra, I have mail go into specific folders. It will be necessary to set up new filters in Gmail.<\/p>\n<p>With Google Groups, you have multiple options to manage email you receive:<\/p>\n<ul>\n<li>Create a <a href=\"https:\/\/drive.google.com\/file\/d\/1aR4XCvMze22vZSwguDrbyc66cxi1QhQg\/view?usp=sharing\" target=\"_blank\" rel=\"noopener noreferrer\">filter<\/a> in your Gmail account to move messages to your preferred label<\/li>\n<li>Adjust your <a href=\"https:\/\/drive.google.com\/file\/d\/1Jthk8g7HMhjnCOFyFz_zUb9_4wdgd8dy\/view\" target=\"_blank\" rel=\"noopener noreferrer\">Google Group membership settings<\/a> to customize the frequency you receive email in your inbox<\/li>\n<\/ul>\n[\/vc_toggle][vc_toggle title=&#8221;We have a school distribution list\/list serve. How will that change?&#8221;]School distribution lists will continue to be populated nightly with all staff employed at the school location and additions managed by the principal via Role Access Delegation (RAD). Staff will be able to see that they are a member of their school\u2019s list in <a href=\"http:\/\/groups.google.com\/a\/philasd.org\" target=\"_blank\" rel=\"noopener noreferrer\">Google Groups<\/a>.<\/p>\n<p>Additionally, when sharing Google Drive materials (Docs, Sheets, Slides, etc.), you will be able to share with the list email address to grant access to everyone on the list instead of sharing the document to each person individually.<\/p>\n<p>For example: to share a presentation with your school staff, you would share the document with <strong>sch-school-list@philasd.org<\/strong>.[\/vc_toggle][vc_toggle title=&#8221;I have a group\/email address that is no longer needed.
